To Transport or Not to transport

Transportation is one of those things that no one gets excited about when planning a wedding… and yet it’s one of the biggest factors in whether the day feels smooth or slightly chaotic. I’ve seen both versions, and trust me, a little planning here goes a long way.

If your ceremony and reception are in different places, or if parking is even remotely tricky, you should strongly consider organizing transportation. It doesn’t have to be over the top, but giving people a clear, easy plan makes everything feel more relaxed.

From a guest’s perspective, nothing throws off the mood like worrying about being late, getting lost, or circling for parking in nice clothes. And from your perspective? The last thing you want is people arriving frazzled - or worse, late - to big moments.

Here is the long and short of it:

  • Shuttles are your best friend.
    If you have a hotel block (or even just a couple of popular hotels nearby), running a shuttle to and from the venue is the easiest win. It keeps things on schedule, cuts down on parking issues, and lets people actually enjoy themselves without thinking about driving.

  • You don’t have to do it for everyone.
    If budget is a factor, focus on the highest impact group (typically out-of-town guests). Even one or two shuttle loops can make a big difference.

  • Take care of your VIPs.
    For family and your wedding party, having a dedicated van or car service is worth it. It keeps everyone where they need to be, when they need to be there - which, behind the scenes, is half the battle.

  • Have a plan for the end of the night.
    This is the part couples forget all the time. If people are drinking and your venue is even slightly remote, having return shuttles or encouraging rideshares is huge. It’s not just convenient, it’s responsible, and your guests will appreciate it more than you realize.

A few things I always think about when planning this:

  • How far apart everything is (even 15–20 minutes matters more than you think)

  • Parking - both availability and how easy it is

  • Whether guests are familiar with the area

  • The overall flow of the day (transportation should support the timeline, not fight it)

And here’s my biggest piece of advice: whatever you decide, communicate it clearly. Put it on your website, include times, pickup spots, all of it. People are happy to follow a plan, they just need to know what it is.

At the end of the day, transportation isn’t about being fancy. It’s about creating a day that feels easy, thoughtful, and taken care of - for you and for everyone celebrating with you.
